Volunteer Coordinator at Food Link, Arlington, MA

We are looking for a full-time staff person to join our small staff. This position will be critical to managing over 100 volunteers and increasing operational efficiencies. This position is approximately 40 hours per week and includes some regular weekends and nights. Work is performed on-site in Arlington, MA, locations where we collect and distribute food, and remotely. Working well with people of all backgrounds, friendly and fast learner is required. This position reports to Food Link’s Operations Director.

About Food Link

Food Link is an Arlington-based food rescue non profit that uses the power of volunteers to collect fresh food from food retailers and distribute it to local agencies serving residents in need. We partner with 12 local grocery and prepared food stores to bring high-quality fresh fruit, vegetables, meat, dairy, bread and prepared foods to 30 social service agencies including afterschool programs, programs for at-risk youth, low income housing facilities, homeless shelters, food pantries, and senior centers.

Responsibilities

  • Manage Volunteers
  • Provide customer service to volunteers
  • Match volunteer’s skills, interests, and schedules with operational needs
  • Field various communications (emails, calls, texts)
  • Schedule Volunteers
  • Create volunteer schedule
  • Monitor and react to schedule changes to ensure appropriate staffing
  • Create and email out daily, weekly and monthly reminders
  • Onboard Volunteers
  • Manage sign up forms
  • Do phone screen
  • Schedule training
  • Lead orientations
  • Track waivers
  • Operations Assistance
  • Create and send daily operations emails to assist next day's operations
  • React to issues regarding equipment or facilities
  • Monitor and react to food recalls or other food safety situations
  • Collaborate with Partner Organizations
  • Communicate with donor and recipient agencies
  • Communicate with other hunger relief and food rescue organizations
  • Streamline Operations
  • Create new systems, protocols and forms to increase efficiency
  • Update Volunteer Handbook
  • Integrate Slack into operations
  • Integrate the Food Rescue Robot technology into operations

Admin

  • Scanning/Filing/Record Keeping
  • Attend weekly staff meetings
  • Attend some fundraising and outreach events
  • Qualifications
  • Knowledge of Microsoft Suite particularly Excel and Word
  • Knowledge of Google Drive and managing data there
  • Operational background, particularly in the food industry or food insecurity, a plus
  • Background in administration a plus
  • Good writing and communication skills required
  • Adept at learning new software
  • Takes direction and works independently
  • Regular access to a reliable vehicle
  • Ability to work remotely
